One roster that refuses to double-book

Build the week on a worker-by-day grid, drop a saved template onto any cell, then publish. Workers only see the shifts you have released, and the clashes never reach them because the database rejects them first.

Week view of the roster. Three support workers across Monday to Friday, with published shifts, one draft shift and one unfilled sleepover flagged as needing cover.

The clash is caught before anyone drives anywhere

Most providers find the double-booking when a worker calls from the wrong house. CareBuddie refuses the shift at the database, so there is no version of the roster where it exists.

  • Overlap rejection · The same worker on two overlapping shifts is rejected outright. It is a constraint, not a warning you can dismiss.
  • Leave-aware · An approved leave request surfaces the shifts that now need cover.
  • Cover cascade · Set per absence reason: how many offer rounds run, how long each round lasts, and when an unfilled shift escalates.

Cover list. Shifts released by an approved leave request, with their cover status.

An expired check cannot be rostered

Screening expiry is not a report somebody reads on Monday. It is a condition of assignment, enforced when the shift is created.

  • Assignment blocked · A worker with an expired NDIS screening check cannot be assigned to a shift.
  • Override on the record · An admin can override it, with a written reason that is stored on the record.
  • SCHADS on every record · Award classification and employment type are effective-dated, so pay follows the roster.

Compliance view. An expired screening check blocks assignment until it is renewed or overridden.

Plan the week privately, release it when it is right

A roster in progress is not a roster. Build it in draft, publish by week or by selection, and copy last week as a starting point.

  • Private until published · Workers see released shifts only. Drafts are invisible to them.
  • Copy last week · One click, then adjust. The usual week is the usual week.
  • Undo a copy · Copied the wrong week? Undo the copy rather than deleting shifts one by one.

Publish step. Release the whole week or a selection.

Any questions?

Can the same worker be on two shifts at once?

No. Overlapping shifts for one worker are rejected by the database, not only by form validation.

What happens when someone goes on leave?

An approved leave request surfaces the shifts that now need cover. The Cover cascade setting controls how many offer rounds run, how long each round lasts, and when an unfilled shift escalates, per absence reason.

Does the roster know about SCHADS?

Every staff record carries its award classification and employment type, effective-dated, so a pay rate follows the roster rather than being reconstructed afterwards.

Can an admin override a blocked assignment?

Yes, with a written reason. The override and the reason are stored on the record.

Can I undo a copied week?

Yes. If you copied last week into the wrong week, the copy can be undone in one step.
